Introduction
------------
x-CAL is a network software product published by Hummingbird
Software that provides a low-cost workgroup calendaring solution for
modern businesses. x-CAL's private calendar functions offer network
users an easy means of tracking personal appointments and events,
while x-CAL's workgroup calendar functions provide a true
productivity tool for tracking user-group schedules.
x-CAL provides the calendaring features needed in any workgroup
environment, including:
o Private calendar
o WorkGroup calendar
o Alternate calendar
o Meeting scheduler
o Multi-level security system
o Administrator system
o Online help system
o Printout to LPT1, LPT2, LPT3, or disk file
These fully-integrated features make x-CAL the only network
scheduling tool needed to boost both personal and workgroup
productivity.
Private Calendar System
x-CAL provides an appointment schedule data file for each system
user. This file contains the date, time, description, and location
for each scheduled meeting or appointment. x-CAL uses half-hour time
blocks for ease of scheduling, and graphically displays both a 7-day
weekly as well as a daily user schedule for an entire 24-hour
period. A user may zoom-in on the specific calendar details for any
selected day and then enter/change/delete meetings or appointments.
A user may also enter recurring meetings using the x-CAL automatic
meeting scheduler. Automatic scheduling can be setup by each user to
skip all conflicts, overwrite all conflicts, or prompt the user for
disposition as conflicts occur.
Alternate Calendar System
x-CAL includes an alternate calendar system whereby one user can
provide another user access to his/her private calendar. A typical
scenario would be for a manager to grant alternate user access to
his/her secretary. An alternate user may perform all private
calendar activities for the user for whom he/she has been granted
access, including calendar detail entry/change/delete and automatic
scheduling.

WorkGroup Calendar System
x-CAL allows creation of up to 26 different calendar workgroups,
each of which may contain an unlimited number of calendar users.
Each user can be granted any combination of member and scheduler
status. Member status means that a user can examine all group member
calendars, while scheduler status means that a user can schedule
meetings and appointments for the entire calendar group.
Administrator System
Built into x-CAL are complete administrator maintenance functions,
based on a user-level security access system, including the
following:
o System Administration (system name, system type, defaults)
o User Administration (user setup and workgroup access)
o Group Administration
o Activity Log (audit trail)
o Error Log (should errors occur)
o Main File Reindexing
o User File Reindexing
o Main File Summary
Requirements
------------
For Standalone PC Use: IBM or 100% compatible computer with 384K
available memory, floppy disk drive (5.25" 360K or 1.2M, or 3.50"
720K or 1.44M), fixed disk drive, monochrome or color (CGA/EGA/VGA)
display, parallel printer (if printouts are desired), and MS or PC
DOS 3.1 or higher
For Network Use: Multi-user network operating system which utilizes
MS/PC DOS file and record locking calls (ie, Banyan VINES, Novell,
etc.) and workstations that meet the standalone PC requirements
listed above. Note, however, that workstations do not necessarily
require a floppy or fixed drive.

General Operating Guidelines
----------------------------
All x-CAL menus and displays are normally scrolled using the
keyboard cursor keys. As a display is scrolled, the current choice
is highlighted. You select a choice by pressing the ENTER key when
the desired choice is highlighted. You may also press the letter or
number corresponding to a choice to select that choice.
The ESC key is used throughout x-CAL to escape (exit) from or abort
(quit) any x-CAL activity. Normally, pressing ESC returns x-CAL to
the previous (calling) menu or activity. Pressing ESC during the
weekly calendar screen terminates the x-CAL program by returning you
to the DOS prompt. Printouts can also be terminated early by
pressing the ESC key.
A printer must be connected and on-line in order to print listed
information or reports. x-CAL supports LPT1 local printer and
LPT2/LPT3 network (shared) printers. Note that a printer test is
performed prior to displaying the printer choices, and only valid
choices may subsequently be selected for printed output. If
workstation disk file is selected, you will be prompted for a valid
disk file drive, path, and file name.
Security System
---------------
x-CAL includes a multi-level user security system consisting of the
following accesses:
o Administration Menu access (determined by the system
administrator)
o WorkGroup scheduling access (determined by the system
administrator)
o Alternate user access (determined by each individual
user)

Help System
-----------
Throughout most x-CAL activities, on-line user-help is available by
pressing the [F1] key. This help normally consists of a scrolled display
containing a text description for the activity from which help was
called. Text help screens are available for the following x-CAL activities:

o Alternate Detail Calendar

Installation
------------
The x-CAL diskette contains the following files:
X-CAL.EXE ...... x-CAL executable program
README.1ST ..... changes that may have been incorporated since
the printing of this guide
To install:
o Insert the floppy diskette into a standalone PC or workstation
drive
o Create a subdirectory on your standalone PC or your network
file server named \CALENDAR (actually, any name you prefer
is acceptable)
o Switch to the \CALENDAR subdirectory
o Copy the files from the floppy diskette to the \CALENDAR
subdirectory
o At the DOS prompt, type X-CAL and press ENTER
x-CAL will then self-install by creating the necessary database and
index files.
Since X-CAL.EXE is an overlayed executable file, network file
attributes must be configured for shared file use. For example, in
Banyan VINES installations, the command:
SETATTR +S -E X-CAL.EXE
... will set the executable file X-CAL.EXE for shared use.
The x-CAL data drive and subdirectory may also be specified from
DOS as X-CAL S:\CALENDAR where S:\CALENDAR is the network drive
and subdirectory for the x-CAL data. This configuration allows you
to install the X-CAL.EXE file on workstations (for faster, local
loading into RAM) while the x-CAL data remains on a shared network
file service.

Initial Setup
-------------
If x-CAL has been installed on a Banyan VINES network (version
3.10 or higher), the user login name is obtained directly from
StreetTalk. For example:
Fred@Accounting@Corp
Likewise, If x-CAL has been installed on a Novell Netware network
(version 3.11 or higher), the user login name is obtained directly
from the operating system. For example:
FREDJ
For standalone PC use or in other network installations, a DOS SET
command may be used to store the user name. For example:
SET XC_USER=Fred
Otherwise, the user name is obtained from the login screen.
For initial x-CAL installation, you will likely want to choose admin
[Shift-F9] from the Private Summary Calendar screen to access the
administration menu, from where you can customize x-CAL for your own
installation.

Private Summary Calendar
------------------------
The summary calendar screen is a summary of scheduled events for the
week shown.
Use the cursor keys to scroll the displayed dates. Note pressing an
up cursor key while on the Sunday date causes x-CAL to skip to the
previous week. Similarly, pressing a down cursor key while on the
Saturday date causes x-CAL to skip to the following week. The
function keys allow you to perform other calendaring activities
further described as follows:
F1 is the online help system.
F2 allows you to zoom in on the detail calendar for any
highlighted date. Note that you can also press the
ENTER key to zoom in on the highlighted date.
F3 allows you to access the x-CAL meeting scheduling
utility which provides an easy means for adding
recurring meetings or appointments to the calendar.
F4 causes x-CAL to display meetings and appointments for
the previous week.
F5 causes x-CAL to display meetings and appointments for
the following week.
F6 allows you to enter a note for the highlighted date.
F7 allows you to access the x-CAL group calendar system.
F8 allows you to access other user calendars for whom you
have alternate access.
F9 allows you print the summary calendar.
SHIFT+F4 causes x-CAL to display meetings and appointments for
two weeks back.
SHIFT+F5 causes x-CAL to display meetings and appointments for
two weeks ahead.
SHIFT+F7 allows you to change your x-CAL operating setup,
including color, audio, zoom boxes, meeting scheduler
conflict setting, and alternate users.
SHIFT+F8 allows you to purge your calendar information file of
old data.

three weeks back.
CTRL+F5 causes x-CAL to display meetings and appointments for
three weeks ahead.

ALT+F5 causes x-CAL to display meetings and appointments for
four weeks ahead.
The ESC key exits x-CAL and returns you to DOS.

Private Detail Calendar
-----------------------
The detail calendar screen consists of event details for the day
shown.
Use the cursor keys to scroll the displayed events. The function
keys allow you to perform other calendaring activities further
described as follows:
F1 is the online help system.
F2 allows you to copy the description/location of one
event timeblock to another. You should scroll to the
empty event timeblock that you wish to copy to. Event
information will be copied from the previous (or in
some cases the next) event timeblock by pressing the F2
key.
F3 allows you to erase the highlighted event timeblock.
F4 causes x-CAL to display meeting/appointment details for
the previous date.
F5 causes x-CAL to display meeting/appointment details for
the following date.
F6 allows you to enter a note for the highlighted event
timeblock. Up to three lines of text may be entered.
Whenever notes are attached to an event timeblock, the
notation [F6=Notes] will be displayed.
F7 allows you to search for another calendar date.
F9 allows you print the daily calendar.
SHIFT+F4 causes x-CAL to display meeting/appointment details for
one week back.
SHIFT+F5 causes x-CAL to display meeting/appointment details for
one week ahead.

The workgroup summary screen is a summary of scheduled events for
all defined workgroup members for the day shown.
Use the cursor keys to scroll the workgroup members. The function
keys allow you to perform other calendaring activities further
described as follows:
F1 is the online help system.
F2 allows you to zoom in on the detail calendar for any
highlighted member. Note that you can also press the
ENTER key to zoom in on the highlighted member.
F3 allows you to access the x-CAL meeting scheduling
utility which provides an easy means for adding
recurring meetings or appointments to the calendar for
all workgroup members. NOTE that you must have
scheduling access to the workgroup in order to perform
this activity.
F4 causes x-CAL to display meetings and appointments for
the previous date.
F5 causes x-CAL to display meetings and appointments for
the following date.
F9 allows you print the workgroup summary calendar.
SHIFT+F4 causes x-CAL to display meetings and appointments for
one week back.
SHIFT+F5 causes x-CAL to display meetings and appointments for
one week ahead.
CTRL+F4 causes x-CAL to display meetings and appointments for
two weeks back.
CTRL+F5 causes x-CAL to display meetings and appointments for
two weeks ahead.
ALT+F4 causes x-CAL to display meetings and appointments for
three weeks back.

three weeks ahead.

-------------------------

workgroup member for the day shown.
Use the cursor keys to scroll the displayed events. The function
keys allow you to perform other calendaring activities further
described as follows:
F1 is the online help system.
F2 allows you to copy the description/location of one
event timeblock to another. NOTE that you can only
perform calendar changes if the displayed calendar is
your own.
F3 allows you to erase the highlighted event timeblock.
NOTE that you can only perform calendar changes if the

F4 causes x-CAL to display meeting/appointment details for
the previous date.
F5 causes x-CAL to display meeting/appointment details for
the following date.

Meeting Scheduler
-----------------
The x-CAL meeting scheduler allows you to easily schedule recurring
appointments and events.
Press 1 through 8 to define the meeting criteria. Once the criteria
is specified, press ENTER to process the defined meeting. Press ESC
to cancel meeting scheduling.
o Weekdays determine which days of the week on which the meeting
will occur. More than one day may be selected.
o Start time is the meeting starting time.
o Duration is the meeting duration time.
o Start date is the meeting start date. This date may be
approximated, since x-CAL will also use the day of week
selections to determine the exact start date.
o Final date is the meeting final date. This date may be
approximated, since x-CAL will also use the day of week
selections to determine the exact final date.
o Description is the meeting description.
o Location is the meeting location.
Note: In order to delete a previously scheduled meeting, just
specify the meeting criteria except leave the meeting
description and location blank.

You may configure the following x-CAL setup parameters for your own
use:
o Color Display
o Audio Error Tones
o Exploding Boxes
o Scheduling Conflict Prompt
o Alternate Calendar Users
After configuring your parameters, press ENTER to save.

Administration Menu
-------------------
The x-CAL administration menu allows you to perform certain system
administrative and/or maintenance activities. These activities are
further explained as follows:
o System Administration, to specify the system name (which is
included on all x-CAL reports and printouts) as well as new
user default information.
o User Administration, for maintenance of x-CAL users.
o Group Administration, for maintenance of x-CAL workgroups.
o System Activity Log, which tracks all x-CAL user activities.
o System Error Log, which tracks all x-CAL user errors, should
they occur.
o Reindex Main Files, which allows you to rebuild the main x-CAL
database and index files, should they become accidently erased
or corrupted.
o Reindex User Files, which allows you to rebuild the user x-CAL
database and index files, should they become accidently erased
or corrupted.
o Display Main Files, which is a summary of main x-CAL database
files and sizes.
ESC returns you to the previous screen.

System Administration
---------------------
System information allows you to change various system and new user
default parameters. These parameters are further described as follows:
o System Name, which is included on all screens and printouts.
o System Type, either open (available to new users) or closed
o Activity Log, either turned on or off.
o Error Log, either turned on or off.
o Time Between Refresh, the number of seconds of keyboard
activity after which x-CAL will automatically update calendar
displays with fresh calendar data.
o New User Color, default for (open system) new users.
o New User Audio, default for (open system) new users.
o New User Zoom, default for (open system) new users.
o New User Admin, default for (open system) new users.
o New User Calendar Start, default for (open system) new users.
o New User Conflict Resolution, default for (open system) new
users.
o New User Group Membership, default for (open system) new
users.
Displayed system configuration parameters are saved by pressing the
ENTER key.

User Administration
-------------------
User administration allows you to perform maintenance on any x-CAL
user. Use the cursor keys to scroll the displayed users.
The function keys allow you to perform other user maintenance
activities, further described as follows:
F1 is this online help system.
F2 allows you to add a new user.
F3 allows you to change the highlighted user information.
F4 allows you to delete the highlighted user.
F9 allows you print out the user listing.
ESC returns you to the administration menu screen.

Group Administration
--------------------
Group administration allows you to perform maintenance on any x-CAL
workgroup. Use the cursor keys to scroll the displayed groups.
The function keys allow you to perform other group maintenance activities,
further described as follows:
F1 is this online help system.
F3 allows you to change the highlighted group name.
F4 allows you to delete the highlighted group.
F9 allows you print out the group listing.
ESC returns you to the administration menu screen.
Note that x-CAL allows a maximum of 26 different workgroups.

System Activity Log
-------------------
The activity log keeps track of all x-CAL user activities. Use the
cursor keys to scroll the displayed log entries. As the log is scrolled,
displayed information includes the following:
o Activity Date
o Activity Time
o Activity Description
o User Name
The function keys allow you to perform other log activities further
described as follows:
F1 is the online help system.
F6 allows you to erase the activity log.
F9 allows you print out the activity log.
ESC returns you to the administration menu.

System Error Log
----------------
The error log keeps track of all x-CAL user errors (if any). Use the
cursor keys to scroll the displayed log entries. As the log is
scrolled, displayed information includes the following:
o Error Date

o Error Description
o User Name

described as follows:

F6 allows you to erase the error log.
F9 allows you print out the error log.

Reindex Main Files
------------------
All x-CAL main database files may be reindexed in the event that
they are accidently erased or become corrupted.
Reindex User Files
------------------
All x-CAL user database files may be reindexed in the event that
they are accidently erased or become corrupted.
Display Main Files
------------------
A summary of x-CAL main database files may be displayed.
